The terms that govern PichaEats catering and delivery orders. These apply to all bookings unless a signed agreement states otherwise.
Catering Terms & Conditions.
1. Booking, Setup & Service
1.1 Payment & Pricing
1.1.1 Payment: Accepted: bank transfer, cheque, cash deposit, over-the-counter at bank, or purchase order (corporate clients only). PichaEats reserves the right to charge extra for any other payment method.
1.1.2 Validity: Menu prices are valid for 30 days from the date of catalogue receipt. Prices may change thereafter.
1.1.3 Late Payment: Payments not received by the invoice due date are subject to interest and/or late-payment charges at the rate specified in the relevant invoice.
1.2 Booking & Amendments
1.2.1 Amendment: No changes or amendments accepted less than 5 working days before the event. PichaEats reserves the right to charge extra for menu changes within this window. No menu changes entertained after 6pm on day 5.
1.2.2 Address: Complete address required at least 5 days before the event, otherwise PichaEats is not responsible for lateness. Must include unit/room number, floor, building, road, area, postcode and state.
1.2.3 Loading bay: Client must inform PichaEats of loading bay requirements at least 5 days before the event.
1.3 Setup & Service
1.3.1 Setup: 120 minutes required before serving time to set up. PichaEats is not responsible for late service if given less than 90 minutes.
1.3.2 Serving: Maximum serving duration of 2.5 hours. Extra time charged at RM 100/hour.
1.3.3 Food safety: PichaEats is not liable for food quality, contamination or poisoning if food is consumed more than 3 hours after serving time.
1.4 What's Included
1.4.1 Included: Eco-friendly bagasse plates (sugarcane fibre), paper cups, heavy-duty wooden cutlery.
1.4.2 Extra cost: Porcelain/melamine plates, stainless steel cutlery, glassware. Buffet line is not included unless explicitly stated in quotation.
1.4.3 Leftovers: Packed in disposable plastic bags only. Client may not keep leftover plastic cutlery, paper plates/cups, cordial or serviettes.
2. Charges, Damages, Holidays
2.1 Surcharges
- 2.1.1 Last-minute booking (within 2 working days): +10%
- 2.1.2 Overtime after serving ends: RM 100/hr
- 2.1.3 Odd hours, within booked hours (12am–8am): RM 150/hr
- 2.1.4 Odd hours, overtime (12am–8am): RM 200/hr
- 2.1.5 No-elevator venue (manpower): RM 50–200
- 2.1.6 Public holiday surcharge: +RM 200
- 2.1.7 Non-halal use of equipment: RM 200
2.2 Damage & Loss Charges
- 2.2.1 Dinner plate: RM 10
- 2.2.2 Dinner spoon: RM 4
- 2.2.3 Dinner fork: RM 4
- 2.2.4 Dessert fork: RM 3
- 2.2.5 Highball glass: RM 3
2.3 Logistics
- 2.3.1 Kuala Lumpur, Ampang: RM 150
- 2.3.2 PJ, Shah Alam, Setia Alam, Klang, Subang: RM 200
- 2.3.3 Sungai Buloh, Rawang: RM 200
- 2.3.4 KLIA, Bangi: RM 300
- 2.3.5 Janda Baik, Seremban: RM 400
- 2.3.6 Other areas: on quote
- 2.3.7 Additional logistics charges apply for rental (eg. canopy, tables, chairs, etc)
2.4 Public Holidays (RM 200 surcharge applies)
New Year (1 Jan), Chinese New Year days 1–2, Deepavali, Christmas Day (25 Dec), Hari Raya Aidilfitri days 1–2, Hari Raya Aidil Adha days 1–2, Merdeka (31 Aug), Malaysia Day (16 Sep).
Note: rentals are charged in full whether used or not.
3. Cancellation, Responsibilities & Liability
3.1 Cancellation Fees
- 3.1.1 Within 5 days of event: 50% of order
- 3.1.2 After 11am, day before event: 100% of order
3.2 Client Responsibilities
3.2.1 Person-in-charge: Client must assign a person-in-charge for floor plan arrangements. PichaEats is not responsible for floor plan if no PIC is assigned.
3.2.2 Halal use: Client is strictly not permitted to use PichaEats equipment or cutlery for non-halal items. Breach incurs an RM 200 charge.
3.2.3 5-day notice: Address details, loading bay information and menu finalisation each require 5 days' notice.
3.3 Limitations of Liability
3.3.1 Force majeure: PichaEats is not responsible for lack of event success caused by unforeseen circumstances including but not limited to natural disasters, riot, strike, or state of war.
3.3.2 Lateness: PichaEats is not liable for lateness where the client has failed to provide complete address, loading bay information or sufficient setup time.
3.3.3 Food after 3 hrs: No liability for food quality, contamination or poisoning beyond 3 hours of serving time.
3.3.4 Marketing images: Marketing images do not constitute a representation of actual food items delivered.
Delivery Terms & Conditions.
- Order confirmation is made by full payment or an official Purchase Order at least 1 day ahead by 11am. Late orders or confirmations (anything under 24 hours) will incur an additional service fee.
- Payments not received by the invoice due date are subject to interest and/or late-payment charges at the rate specified in the relevant invoice.
- Menus are subject to availability on the date of confirmation. PichaEats reserves the right to change menu/package items with prior notice due to unavailability of items.
- Every set/package/mealbox has a daily limit, so all sets/packages/mealboxes are available on a first-come, first-served basis. No order is confirmed until PichaEats acknowledges complete payment of the order.
- Minimum of 10 pax per kitchen (for mealboxes) and minimum of 20 pax per kitchen (for lightbites).
- A Last Minute Order Fee of 10% on the whole order applies if the order is only paid after 11am one day before the event date.
- The delivery fee depends on the distance between the selected kitchen and the delivery location.
- Any change to the delivery location after 11am one day before the delivery date is chargeable based on the new location.
- Should the runner have to wait more than 15 minutes after reaching the drop-off location, the client will be charged RM5 for every 15 minutes, up to 1 hour. This is waived if the error is on Picha's side.
- PichaEats will not be liable for any orders that encounter delivery issues due to a wrong delivery address or contact number given by the client.
- There will be an extra charge of RM1.40 per set of disposable utensils if required.
- In the event of postponement or cancellation after confirmation: any cancellation is non-refundable but the total order value is fully creditable to Picha Sdn Bhd for use towards future events within 1 year. Cancellations less than 48 hours before the event are non-refundable and non-creditable.
- Any cancellation after 11am one day before the delivery day is chargeable at 50% of the order value.
- PichaEats reserves the right to CANCEL the order with NO refund should there be no response from the client 15 minutes after the delivery timeframe has passed.
